Give the plants a place in the moving plan
The shelves are emptying and the reception desk is being cleared, but the plants still need a destination. Whether the office is staying, shrinking or moving, start with the current rental agreement and latest written arrangements, then match them to the plants, containers and accessories on site. Establish who will handle the next step, separating the contract end date, renewal process and collection date.

Use the checklist below to organise those questions. It does not set Plantshop’s return terms: notice, charges, deposits, renewal and ownership depend on your agreement and the provider’s confirmation. Leave unanswered items marked as pending.

Match every item to the inventory
Walk from reception through the meeting rooms and record each plant and outer container, including trays, supports and other accessories. Match a recognisable item reference to a current photograph. “Two large pots” may be too vague to identify what should be collected.
Look closely at each corner: the plant may be rented, the planter bought by the company and the smaller pot beside it owned by a colleague. Clarify uncertain ownership before adding anything to the return list. Where species, positions or accessories have changed during the rental, reconcile the site with records confirmed by both sides.
Photographs document visible scratches, container condition and changes in the plants; they do not determine responsibility or charges. Keep images limited to the handover and exclude whiteboards, screens and other sensitive office information.
Three next steps, three sets of questions
- If renewing: Confirm the next period, quantities, positions, care scope and charges, together with the notice method required by the existing agreement. An unanswered message does not establish the details of a renewal.
- If relocating: Share the new address, position photographs, light conditions and access restrictions. Ask about transport, a revised layout or other options, with the associated charges and responsibilities. Plants suited to the old position still need assessment for the new office.
- If returning: Confirm which plants and accessories are to be collected, the time, the handover contact and required records. Reconcile charges and any deposit separately under the actual terms; collection alone does not settle these points.
If the internal decision is still pending, list the unresolved items and enquire about possible arrangements. Do not move, give away or dispose of items whose ownership has not been established simply to clear the office.
Plan for the interval after staff leave
The team’s last working day may precede the rental end or collection date. Name the person checking the plants during that interval, establish whether suitable light and environmental conditions remain, and confirm access for service personnel. Imminent return is not a reason to stop care or give every pot a large extra watering.
If the company moves out while plants remain temporarily, agree use of and access to the premises, then confirm care responsibilities with the provider. Arrange the goods lift, loading position, permitted moving hours and clear route before handover.
Agree the handlers, collection point and floor protection before moving day. Heavy containers need suitable people and equipment, rather than an improvised journey down the stairs.
An end-of-rental coordination sheet
| Item | What to confirm | Owner / date | Written confirmation |
|---|---|---|---|
| Renewal, relocation or return | Internal decision, notice requirements and provider response | __ / __ | ____ |
| Site inventory | Plants, containers, accessories, ownership and references | __ / __ | List and photographs |
| Interim care | Responsibility from the last working day to handover | __ / __ | ____ |
| Access and handling | Times, goods lift, route, handlers and protection | __ / __ | ____ |
| Charges and deposit, if applicable | Actual agreement, quotation and unresolved items | __ / __ | ____ |
| Completed handover | Collected quantities, differences, recipient and open items | __ / __ | Record confirmed by both sides |
Leave a clear record at handover
Check items by reference during handover. Record anything not collected, any difference in quantity and any condition that needs further agreement on the same sheet. Keep the recipient’s name, date and confirmation from both sides so the account does not depend on recollection.
For enquiries about the next stage with Plantshop corporate plant rental, prepare the current arrangements, intended dates and site information. Update the sheet with confirmed details after the provider replies. A public service introduction cannot replace your own agreement.
If the next office brief includes a purchase
These are options for a separate purchase, not an offer to buy out rented plants or a statement that a rental package includes these varieties.
- ZZ Plant: Consider its relatively compact leafy outline, then check the actual specimen, position and staff available for care.
- Madagascar Dragon Tree: Its balance of stems and narrow leaves offers another direction for the new layout. Confirm overall height, canopy and circulation space.
- Burgundy Rubber Plant: Dark broad leaves can contrast with pale furniture, provided the new position and care arrangements are suitable.
